When the recipient receives and saves the attachment from the email to a network location and then opens the file, it will automatically onboard into Apparity as a new version of the file. All subsequent changes to this version will be tracked and monitored by Apparity.
To prevent new versions of the file from being onboarded into Apparity, it is a best practice to send a link to the file rather than the actual file.
Q: What happens if I email an Apparity managed file to a non-Apparity user within my organisation or externally?
The non-Apparity user will open the spreadsheet as normal, and there will be no indication that it is managed by Apparity.
If the non-Apparity user makes changes to the file and sends it back to the Apparity user, after the Apparity user saves the attachment from the email to a Shared Drive location and opens the file, it will automatically onboard into Apparity as a new version of the file with all of the changes that were made by the non-Apparity user. A change log can then be generated to identify the changes that were made.
