Q: Why are there multiple versions of the file in my Version History pane?
When an Apparity managed file is copied, renamed, or changes locations and then it is opened by an Apparity user, this version of the file will automatically onboard and appear in your Version History pane. To prevent versions from automatically onboarding into Apparity, consider using the Disconnect for Distribution, Create Read-Only Copy (previously View this prior version), or Export (previously Export this prior version) features if the version no longer needs to be under Apparity control.
Q: Why would I want to remove a version of a file from Apparity?
In the event that a user is no longer interested in keeping a version of the file under the Apparity control framework (access control, version control, change management control), he or she can remove a copy from Apparity. Reasons for removing a copy of an Apparity managed file may include, but is not limited to, the following scenarios:
- When you are distributing a version to another department for their reference and are not interested in any subsequent changes
- When you are distributing a version to an external 3rd party for their reference and are not interested in any subsequent changes
- When you are storing a final version that will not be updated
- When conducting one-off analysis
Q: How can I remove a copy of an Apparity managed file from Apparity?
There are three different ways in which you can remove a copy of an Apparity managed file from Apparity. In all three options, the user will take a copy of an Apparity managed file and that copy will be created outside of the Apparity control framework, meaning that all subsequent changes to this copy will not be tracked by Apparity. The original version of the file will still remain within the Apparity control framework.
- Disconnect for Distribution – This feature can be found as an icon on the Apparity ribbon and will create a copy of the current version of the file that is opened, while removing that copy from the Apparity control framework. The current version of the file that the user has opened will remain within Apparity.
- Create Read-Only Copy (previously View this prior version) – This is an action available when selecting a specific version in the Version History.
- Export (previously Export this prior version) - This is an action available when selecting a specific version in the Version History.
