Permissions
A Standard User will only be able to see EUCAs for which they have a particular assigned role (role depends on configuration). If a user does not have this type of relationship to any EUCA, the inventory will appear empty.
Grid Overview
The Managed/Registered Inventory displays the following types of files:
- Managed: Files that were onboarded to Apparity and are currently tracked under the Apparity Active Management controls framework. If a file is onboarded to Apparity via the Excel add-in, it will automatically appear in AIMS.
- Registered: Files that are not under the Active Management controls framework, but were registered into the inventory with organizational metadata. Files can be added to the Registered inventory directly or via the Unregistered inventory.
Note: Not all organizations will leverage the Registration feature. It can be configured to be on or off.
There is a host of functionality supported in the Inventory Listing:
- Group By: Provides the ability to group the inventory by a column header by pulling the header into the grey bar
- Model Map Explorer: Shows file connections in a highly visual, dynamic graphic (see the dedicated Model Map Explorer section for more information)
- View/Edit Details: Opens a new window that provides file-specific details
- Registration Details: Registration information specific to the organization (allows editing and an overview of changes in the Field History)
- Assessment Details: Assessment information specific to the organization (allows editing and an overview of changes in the Field History)
- Structural Details: Structural analysis provided by Discovery
- Register: Allows for registration of a new file
- Action Buttons: Allows users to update how inventory listing is displayed
- Remember Grid Settings: Save display settings (columns shown, column order, column width, filters) to be used in subsequent sessions
- Expand All: Expand all records so that each record is visible
- Collapse All: Collapse all records into grouped categories
- Export: Export inventory to Excel (choice to export with or without each individual file copy of managed files; without will show one record per EUCA)
- Clear All: Return to the default view
- Views: Pre-set filters to show views defined at the organization level accessible via drop-down
- Column Views: Allows users to manipulate the way columns are displayed and ordered
- Move: Drag and drop operation to re-arrange the order of columns
- Sort: Click on three dots to the right and Sort Ascending or Sort Descending
- Add/Remove: Click on the three dots and tick visible columns on/off
- Filter: Add filters to each column
Editing Metadata information
After a file is onboarded to Apparity or registered in the inventory, you can edit the metadata with the following steps:
- Click on the View / Edit Details icon to the left of the record you wish to edit.
- On the next page, click on the Edit Registration pen at the top right of the page.
- Edit any field(s) that should be updated (including Comment at the bottom if required) and click Submit (or Save and Cancel).
- Validate changes by navigating to View Field History.
