Q: How am I notified if a change log is sent to me for review?
After a change log is generated and submitted for review, an automated email will be generated and sent to the Selected Reviewer notifying him or her of a pending change log in the queue. Reviewers can also access all of the reviews currently in their queue by selecting the Reviews icon from the Apparity Ribbon and clicking on the Incoming reviews tab.

Reviewers can check the status of all of the reviews in their queue by selecting the Reviews icon from the Apparity Ribbon. From there, the user can click on the Incoming reviews tab to see a list of all of the files that are currently in their queue for review along with the corresponding status (approved, rejected, pending).
Q: How can I tell if the submitted change log was compared against the most recently approved version?
In the Summary Change Log tab, please view the field entitled, Is the Past Compare Version the Most Recent Approved Version?. If the flag is set to Yes, then the version that you are comparing against is the most recently approved version (based on date/time). If the flag is set to No, the version that you are comparing against is not the most recently approved version (based on date/time).
This information is also captured in the Completed Review History default report (also the Completed Review Data data set) in Insights.
Q: How can I cancel a pending change log?
Two people can cancel a pending change log: the Submitter and the Reviewer. To cancel, click the Reviews icon in the Apparity ribbon and navigate to the review. Right-click on the review and select "Cancel".
Q: Why do I receive an "Edit Error" message when trying to review the change log from the email attachment?
This is due to a setting in Microsoft Excel. To change your settings to allow you to open the change logs directly from Outlook, follow the below instructions. Please note that when this box is unchecked, all attachments opened from Outlook will not be opened in Protected View.
- Open Excel.
- From the File tab, select Options.
- Click on the Trust Center tab and then click on Trust Center Settings.
- Click on the Protect View tab and make sure that Enable Protected View for Outlook attachments is unchecked.
Q: When trying to review a change log, I receive an error indicating that the “file is not located on the shared drive.” What does this mean?
This message appears when the location or the name of the file changed after the review was initiated. Contact the user who submitted the change log to determine the new name/location of the file and have the user generate another change log using this version.
Q: When trying to review a change log, I receive an error saying, “You do not have permission to view this file.” What does this mean?
This message appears when the reviewer does not have access to the folder location in which the file under review is stored. To resolve this issue, one of the options can be taken:
- The submitter resubmits the change log and sends it to another user who does have access to the file.
- The reviewer is granted access to the folder in which the file is stored.
- The submitter saves a copy of the file into a different location that the reviewer has access to. This will create a new copy in Apparity. The submitter can then run a new comparison using this new copy and send it the reviewer.
