Apparity’s Active Management module provides an organization with enterprise-wide tools that apply version, access, and change management controls to EUCAs. This section outlines the active management controls for Microsoft Excel files. To read about the Active Management controls for Access Databases, please refer to the Active Management: Access Database section.
The Apparity Ribbon, located on the Excel toolbar, provides users with access to all the features necessary to properly maintain change, version, and access control within the spreadsheet environment.
It is important to note that feature icons in the Apparity Ribbon may be inactive depending on individual user access and whether the EUCA was successfully onboarded.
Apparity Ribbon

- Onboard New Spreadsheet: allows Apparity to recognize the Excel EUCA and track changes.
- Managed File: verifies that the file is onboarded and provides you with file registration information.
- Version History: gives you a detailed record of events across all versions, copies, and renames.
- Integrity Check: conduct a quick assessment on the structural integrity of the file.
- Model Map Explorer: opens the Apparity Model Map Explorer module that visually shows the interconnectedness of the EUCA to other data sources.
- Excess Format Analyzer: detects potential excess formatting, or file bloating, that might affect everyday performance.
- What Did I Change?: compares the current/open version of the file (in its current state) to the file’s state when it was opened.
- Find Structural Complexity: will analyze key metrics and structural elements of the file to assign a Structural Complexity rating, which is specific to your organization.
- Reviews: section to approve or reject change logs.
- Submit for Review: automatically saves and closes the file to create a new modification. Additionally, it automatically generates a Change Log against the most recently approved version in Apparity.
- Start In-Change: initiates the In-Change process, which allows production level Excel EUCAs to be edited, reviewed, and approved in a formalized process.
- Disconnect for Distribution: creates a copy of the Apparity managed file, and it removes that copy from the Apparity control framework. The original Apparity managed file will remain under the Apparity control framework.
- Scan Shared Drive: scans the designated local folders, identifies all EUCA Excel files, and assigns a complexity rating by using the organization specific risk algorithm.
- Run Report(s): opens the Apparity Reporting module in the web browser.
- Help: provides support documentation and Apparity details.
Note: The Apparity Ribbon is contingent upon configuration, which varies by organization. Some of the features pictured and listed may or may not be leveraged by your organization.
